Checking the paperwork before a tender submission
A bid can fail a document or format requirement before the buyer evaluates its technical offer. Read the tender’s own instructions and amendments, and identify missing evidence while there is time to address it.
Record the actual requirements
Read the instructions, forms, scope and annexes together. Record each mandatory requirement beside the source document and the evidence needed. Our full tender review describes this approach. A checklist from another tender is only a starting point.
Check document validity
Confirm which registrations, certificates and financial documents are requested and the dates or periods they must cover. Do not assume a document is acceptable simply because it was used in an earlier bid. Check questions through the buyer’s clarification process.
Keep technical and financial parts as instructed
If the tender requires separate technical and financial submissions, check that pricing has not entered the technical part. Follow the actual packaging and upload instructions. The required separation and file formats depend on the tender.
Open the final files before handover
Check the final exported files, not only the working documents. Confirm that pages, tables, signatures and attachments are readable and complete. Use the file names and formats requested by the buyer.
Check certifications against the buyer’s wording
Where certification is requested, confirm the standard, scope, validity and acceptance criteria. Preparation is separate from independent certification. Review ISO preparation early if the company has gaps; no general preparation deadline replaces the buyer’s requirement.
Use references that answer the request
Check the required work type, period, value and contact details against the references the client can provide. The working tender discussed in our review example requested two completed contracts above USD 150,000. That example is not a threshold for every tender.
Return the response for client approval
Keybridge prepares the agreed response and flags unresolved points to the client’s nominated decision-maker. The client confirms the facts, reviews and approves the bid, and submits it to the buyer. Set time aside for that review rather than treating preparation as automatic submission.
